Job description

This is a remote position.

Role Name: Executive Assistant to CEO

Schedule:

  • 20 hours per week, Monday to Friday 11am to 3pm Washington DC time

Client Timezone: US Eastern Time


Join a dynamic international organization as Executive Assistant supporting the CEO in managing critical business relationships and governance processes. This part-time remote role offers the opportunity to work directly with senior leadership while coordinating high-level board meetings and executive communications. You'll be instrumental in ensuring smooth operations at the executive level while interfacing with board members and key stakeholders across multiple committees. This role is perfect for a detail-oriented professional who excels at managing complex calendars and producing accurate meeting documentation.


Scope:

  • 20 hours per week

  • Remote position

  • Primary working hours aligned with US time zones

  • Direct reporting to CEO

  • Participation in three main committees: Board of Directors, Member Assembly, and Nominations Committee

  • Administrative support focused on executive and board-level activities

  • Template-based document creation and management

  • Limited verbal participation in meetings, primarily focused on documentation

Responsibilities:

  • Monitor and manage CEO's email inbox

  • Coordinate and maintain CEO's calendar

  • Schedule and manage logistics for meetings across multiple committees

  • Arrange travel accommodations for CEO

  • Draft and respond to emails on CEO's behalf

  • Create meeting agendas using existing templates

  • Take and distribute meeting minutes for Board of Directors meetings

  • Manage Member Assembly voting process and follow up with non-respondents

  • Coordinate Nominations Committee meetings and candidate interviews

  • Process and track CEO expenses

  • Record meeting attendance and maintain documentation


Requirements
:

  • Excellent written and verbal English communication skills

  • Previous experience as an Executive Assistant or similar role

  • Proficiency in common business software (Word, Excel)

  • Experience with virtual meeting platforms (Zoom)

  • Strong attention to detail and accuracy in documentation

  • Professional demeanor and ability to interact with senior executives

  • Ability to maintain confidentiality

  • Experience with meeting minute taking

  • Comfortable working in a remote environment

  • Ability to use communication tools like Slack
