Job description

This is a remote position.

Our client is looking for a Virtual Assistant – Recruitment Specialist to join their remote team and support recruiting efforts across global offices in the UK, Portugal, Germany, Netherlands, and Japan. Operating within the executive search and recruitment industry, they’ve steadily expanded their reach across continents, becoming a trusted talent partner to organizations around the globe. Responsibilities

Candidate Sourcing & Engagement

  • Source candidates using LinkedIn Recruiter and other platforms like Herohunt.

  • Initiate and maintain professional communication with potential candidates via LinkedIn, email, and messaging tools.

  • Build and manage pipelines for diverse roles across multiple industries.

Interview Coordination

  • Manage interview scheduling across global time zones.

  • Organize calendar invites, set up video conferencing links, and ensure follow-up communications are timely and professional.

Client Acquisition & Support

  • Identify new client opportunities and initiate outreach to promote services.

  • Maintain open and consistent communication with existing and potential clients to strengthen relationships.

Administrative & Recruitment Support

  • Track candidate and client data using Intelogos or similar systems.

  • Draft job descriptions, prepare recruitment reports, and support general administrative needs.

  • Handle all candidate and client information with strict confidentiality.



Requirements

  • Proficient English communication skills (written and verbal).

  • Experience using LinkedIn Recruiter for talent sourcing.

  • Ability to manage multiple time zones and prioritize tasks effectively.

  • Excellent organizational abilities and attention to detail.

  • High level of discretion when handling confidential data.

Qualifications
  • Experience in recruitment and/or virtual assistance.

  • Familiarity with platforms like Herohunt, Glassdoor, Indeed, or similar tools.

  • Knowledge of ATS or CRM systems such as Intelogos is an asset.

  • Cultural awareness and ability to collaborate with global teams.
