Job Title: Executive Assistant – Property & Financial Operations

Location: Remote
Employment Type: Full-Time (or Part-Time depending on availability)
Compensation: Based on experience and hours worked


About the Role:

We are seeking a proactive and detail-oriented Executive Assistant to provide a blend of administrative, financial, and property support. This role combines traditional executive assistant responsibilities with key operational tasks in property management and tenant relations. The ideal candidate is a self-starter with excellent communication skills and experience supporting executives and managing real estate operations.


Key Responsibilities:
Financial Support
  • Generate, send, and follow up on invoices in a timely manner

  • Track payments and ensure accuracy in financial records

Tenant Relations (in coordination with estate agent)
  • Ensure prompt and professional responses to tenant inquiries

  • Follow up to confirm tenant issues are resolved to satisfaction

  • Proactively address tenant concerns through effective communication and collaboration with property managers

Property Maintenance (in coordination with estate agent)
  • Oversee maintenance requests to ensure timely resolution

  • Liaise with contractors to coordinate and verify the quality of repairs

  • Track maintenance progress and provide updates to management

Rental Financial Management (in coordination with estate agent)
  • Support in collecting rent and ensuring payment consistency

  • Monitor outstanding balances and coordinate follow-up

Executive Administrative Support
  • Manage email correspondence and scheduling for executive leadership

  • Prioritize and delegate tasks, track project progress, and share status reports

  • Organize digital files, internal documents, and promotional materials

  • Handle miscellaneous administrative duties as directed

  • Act as the primary liaison between the executive and external vendors, ensuring professional and efficient communication



Requirements
Qualifications:
  • Prior experience as an Executive Assistant required

  • Strong understanding of real estate or rental operations (preferred) or Property Management Assistant experience

  • Excellent written and verbal communication skills

  • Highly organized with strong attention to detail

  • Proficient in office tools (Google Workspace, Microsoft Office, project management software)

  • Ability to work independently and manage multiple priorities

  • Professional, discreet, and capable of handling sensitive information
