As a Virtual Administrative Assistant, you’ll be the backbone of our client management and operational efficiency, working directly with the Creative Director to streamline processes and enhance client experience. Responsibilities: Drive Client Success
Manage comprehensive client onboarding processes
Create and maintain organized client documentation systems
Distribute monthly performance reports and analytics
Process and send client proposals
Handle monthly client invoicing and billing
Operational Excellence
Develop and maintain efficient filing systems and organizational structures
Coordinate payments for creative team members and contractors
Create and manage documentation using advanced spreadsheet systems
Set up and optimize digital presence tools (Google Business Page, Linktree)
Analytics and Reporting
Compile monthly social media performance statistics
Analyze post performance metrics across platforms
Prepare and distribute comprehensive client performance reports
Create data-driven presentations using existing templates
Requirements
Technical Skills:
Advanced proficiency in Google Workspace, especially Google Sheets
Experience with digital business tools (Google Business Suite, Linktree)
Strong understanding of social media metrics and analytics
Proficiency in digital file management systems
Professional Qualities:
Exceptional attention to detail and organizational abilities
Strong written communication skills
Self-motivated with ability to work independently
Excellent time management and deadline-oriented mindset
Additional Requirements:
Ability to coordinate with Scottsdale, Arizona time zone
