Role Overview
We are seeking a highly organized and detail-oriented Overseas Project Manager to oversee
and coordinate our third-party diligence process. This client-facing role is central to
ensuring a seamless experience for prospects and internal teams alike. You will act as the
liaison between external diligence service providers, our underwriting team, and
prospective clients—owning the diligence timeline, managing deliverables, and facilitating
effective communication across all stakeholders.
In addition to strong project coordination experience, this role requires comfort with
modern AI tools and a proactive mindset for process automation and optimization. This is a
remote, part-time role (2–4 hours/day), and availability during Eastern Time hours is
required.
Key Responsibilities
Serve as the primary point of contact for all third-party diligence providers.
Manage and maintain the diligence timeline, project calendar, and task tracker.
Coordinate with underwriting and prospects to ensure timely delivery of information.
Track all deliverables and follow-ups with precision and accountability.
Communicate clearly and professionally with both internal and external stakeholders.
Identify bottlenecks or issues early and proactively propose solutions.
Document all progress, changes, and decisions in a centralized, organized way.
Utilize AI tools (e.g., ChatGPT, Notion AI, Copilot) to improve documentation, follow-up,
and workflow efficiencies.
Use automation tools (e.g., Zapier, Microsoft Power Automate) to streamline recurring
tasks.
Collaborate with team members to identify areas where generative AI can reduce
manual work.
Extract insights and generate summaries from diligence reports using AI-enabled tools.
Organize and analyze structured and unstructured data to support decision-making.
Requirements
3+ years of project management or operations experience (financial services,
consulting, or professional services a plus).
Strong client-facing skills with a polished, professional demeanor.
Excellent written and verbal communication.
High attention to detail, strong organizational habits, and ability to manage multiple
timelines.
Experience managing external vendors or service providers.
Comfortable working independently in a fast-paced remote setting.
Available to work 2–4 hours per day during Eastern Time (ET).
Proficiency with project management platforms (e.g., ClickUp, Asana, Notion).
Solid understanding of AI concepts, including natural language processing and
automation.
Hands-on experience using generative AI tools (e.g., ChatGPT, Claude, Microsoft
Copilot).
Ability to write effective prompts and apply AI tools to generate documentation, emails,
and reports.
Comfort with data handling and familiarity with simple analytics or data visualization.
Strong judgment in identifying where AI can add value and where human oversight is
needed.
Ability to operate with discretion and maintain confidentiality.
Preferred Qualifications
Familiarity with due diligence or underwriting processes.
Experience with collaboration/project tools such as Google Workspace, Asana, Monday.com, or similar.
Background in lending, private equity, or professional services.
Experience guiding or training others on AI adoption and workflow improvements.
Knowledge of AI ethics, data privacy, and bias mitigation principle
