Job description

Nift is seeking a highly organized part-time Personal Assistant to support our CEO, with a primary focus on travel planning. The ideal candidate will have a minimum of 6 years of experience, including at least 2 years supporting a CEO, GM, SVP at a technology startup, or a Partner at a VC firm.

This role requires high emotional intelligence (EQ), excellent interpersonal skills, and exceptional attention to detail. You’ll be responsible for managing all aspects of the CEO’s travel—including flights, hotels, ground transportation, dining, conferences, itineraries, and related logistics (e.g., receipts and expense tracking).

You’ll play a critical role in offloading 3–4 hours of daily workload from the CEO’s primary Executive Assistant, helping the team operate efficiently as the company scales its external partnerships, projects, and strategic initiatives.

What You'll Do

  • Manage all aspects of the CEO’s travel: book flights, hotels, ground transportation, and plan logistics to and from airports, events, and meetings
  • Identify and recommend restaurants or food sources conveniently located near hotels and conference venues, or proactively reserve/order meals in advance based on the CEO’s dietary preferences and restrictions
  • Coordinate and organize professional events, such as speaking engagements, trade shows, conferences, business dinners/socials, and potentially, plan our company company off-sites (Quarterly/Annually)
  • Identify ways the CEO can use his time better, and take things off his plate
  • Report to the CEO’s Executive Assistant to ensure alignment on strategy, priorities, schedule and tasks
What You Need
  • BS/BA degree (preferred) or equivalent years of experience
  • Minimum of 6 years of post-college work experience, at least 2 years as an Executive Assistant supporting a CEO or executive team member at a tech startup or VC firm 
  • Incredibly proactive, ability to take initiative, operate autonomously to get answers, context, and the data to solve problems
  • Excellent EQ, interpersonal and relationship-building skills, empathetic 
  • Strong written and verbal communication skills
  • Exceptional organizational skills, attention to detail, follow through skills, meet deadlines, the ability to manage multiple projects simultaneously and drive things to completion
  • High level of drive, a self-starter
  • High level of professionalism, discretion, integrity, and confidentiality
  • Strong scheduling / coordination skills, adaptable, flexible with last-minute changes
  • Ability to work independently and thrives under pressure in a quickly changing environment
  • A positive attitude / outlook has an optimistic approach to work and life
  • Strategic thinking and problem-solving abilities
  • High degree of proficiency with productivity processes & tools (e.g., Google Workspace, spreadsheets, expense reporting)
