Title: Medicare Operations Coordinator

Overview:

Cleo is looking for a highly organized, proactive, and service-oriented individual to join our Medicare Member Operations team as a Medicare Operations Coordinator on a part-time, hourly basis (at least 4 days a week between the hours of 8am-8pm EST). In this role, you’ll play a critical part in supporting the day-to-day operations of Cleo’s Medicare care model. You'll ensure seamless coordination across member touch points by managing scheduling logistics, monitoring high-priority follow-ups, and supporting internal teams with timely information and ad hoc requests.

You’ll work closely with Medicare Coaches and Medicare Engagement Specialists to ensure every member interaction is thoughtful, timely, and aligned with their unique needs. The ideal candidate is someone who thrives in a fast-paced environment, excels at clear communication, and brings a solutions-oriented mindset to every task.

Key Responsibilities:
  • Manage scheduling requests and scheduling changes from Medicare Coaches and Medicare Engagement Specialists to ensure sessions are coordinated accurately and promptly.
  • Support the operations and growth of the Care Activity Team (CAT) by sourcing accurate and relevant information to align with member needs.
  • Monitor inbound Health Plan referrals through the Medicare shared email inbox, missed member calls, and voicemails, and communicate high-priority follow up needs with the Medicare Team to ensure prompt outreach
  • Provide excellent customer support to families and experts.
  • Provide high quality internal customer service to cross-functional teams.
  • Identify and contribute new ideas for how to improve processes for all involved.
  • Support the Medicare Member Operations team with other ad hoc needs as they arise.

  • Qualifications:
  • 1-3 years experience in an administrative or customer service role. Bonus if you have experience with supporting family-centered programs.
  • Excellent verbal and written communications skills and the ability to tailor your voice to different audiences as needed 
  • Exceptional attention to detail as it relates to logistics, customer service issues, and coordination
  • An ability to be organized, proactive, and to work cohesively as part of a team
  • A passion for building and maintaining great member experiences with a positive and motivated team approach, even under pressure
  • Comfort with professional software such as Google Sheets and Google Drive, ticket management systems such as Front App, chat-based team collaborative apps such as Slack, and experience using Google Calendar in a professional environment
  • Background in and/or passion for working in health services related to government healthcare programs or insurance.

    Pay Transparency: The base rate for this position is $20-25 per hour for 20-25 hours per week. Additional benefits include health insurance (medical, dental, and vision), 15 paid holidays, 5-day winter break, accrued vacation time, sick time, 16 weeks paid parental leave, 401(k) plan, disability insurance, life insurance, wellness perks, and more.
