Role Name: Bilingual Healthcare Administrative Assistant

Schedule:

  • Part-time (20+ hours preferred), during California business hours
  • Tuesdays and Wednesdays, Thursday (PST) 9am -4pm

Job Description

Take on a pivotal role as the first point of contact in a dynamic mental health practice, where your warm, professional presence will help individuals take their first steps toward wellness. This position combines administrative expertise with meaningful client interaction, allowing you to make a real difference in people’s lives while working with a dedicated healthcare team. You’ll utilize both your bilingual skills and customer service expertise to create a welcoming, supportive environment for clients reaching out for mental health services. Responsibilities
  • Create a welcoming, supportive environment as the first point of contact for new clients reaching out for mental health services
  • Handle incoming calls and emails with empathy and professionalism, guiding potential clients through their initial contact with care and patience
  • Maintain detailed records in the practice’s call log system, ensuring accurate documentation of all client interactions
  • Guide clients through the digital intake process, providing technical assistance and alternative options when needed
  • Collect and securely document essential information, including insurance details and basic client data
  • Coordinate with the internal team to ensure smooth handoff of completed client information
  • Provide bilingual support in both English and Spanish, ensuring clear communication with all clients
  • Maintain strict confidentiality and HIPAA compliance in all communications and record-keeping
